1. Who we are

Stratifica is an AI-powered schedule builder for educational institutions in the Netherlands. We help schools automatically generate, optimize, and adjust lesson timetables.

Stratifica is responsible for processing personal data as described in this policy (the data controller within the meaning of the General Data Protection Regulation, GDPR).

2. What data we collect

Depending on how you use Stratifica, we may process the following categories of data:

  • Contact details via the waitlist: school name, name, role, email address, phone number (optional), chosen plan, school situation, and optional message.
  • Technical data when visiting the website: IP address, browser type, device information, and timestamp (via server logs and security measures).
  • Communication data: content of emails you exchange with us.
  • Timetable and school data (only when actively using the platform): teachers, classes, rooms, timetables, and school rules, solely on behalf of the school and under a data processing agreement.

3. Why we use data

We process personal data solely for the following purposes:

  • Processing waitlist and demo requests and contacting you about Stratifica.
  • Providing, maintaining, and improving the Stratifica platform.
  • Sending transactional emails (such as confirmation of your registration).
  • Ensuring the security and stability of our website and services.
  • Complying with legal obligations.

4. Legal basis (GDPR)

We process personal data on the basis of:

  • Consent, for example when you join the waitlist and agree to be contacted.
  • Performance of a contract, when you are a customer and we provide the platform.
  • Legitimate interest, for security, fraud prevention, and improving our services, provided your interests do not outweigh ours.
  • Legal obligation, when the law requires us to retain or disclose data.

5. Retention period

We retain waitlist data for as long as needed to handle your request and keep you informed about the launch, or until you request deletion.

Customer data and timetable data are retained for the duration of the subscription and thereafter for a maximum of 12 months, unless a longer retention period is legally required or otherwise agreed in a data processing agreement.

We retain server logs and security logs for a maximum of 90 days.

6. Sharing with third parties

We never sell your data to third parties. We only share data with processors that help us deliver the service, under strict data processing agreements and within the EU where possible:

These parties may process data only according to our instructions and for the stated purposes.

  • Supabase (database), storage of waitlist registrations.
  • Resend (email), sending confirmation and notification emails.
  • Vercel (hosting), hosting of the website and application.

7. Security

We take appropriate technical and organizational measures to protect personal data against loss, misuse, and unauthorized access. This includes encrypted connections (HTTPS), access restrictions, server-side storage of sensitive keys, and regular evaluation of our security measures.

No method of transmission or storage is 100% secure. Report suspected incidents immediately via the contact address at the bottom of this policy.

8. Your rights

Under the GDPR you have the following rights:

  • Right of access to your personal data.
  • Right to rectification of inaccurate data.
  • Right to erasure (right to be forgotten), to the extent permitted by law.
  • Right to restriction of processing.
  • Right to data portability.
  • Right to withdraw consent (without affecting prior processing).
  • Right to object to processing based on legitimate interest.

Send a request to stratifica@julianschoonhoven.com. We respond within 30 days. You also have the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

9. Cookies

Our website uses only functional and strictly necessary technical cookies required for the site to work. We do not place third-party tracking or advertising cookies.

If we add analytical cookies in the future, we will update this policy and request consent where required.

10. Changes

We may update this privacy policy from time to time, for example when we add new functionality or when laws change. The most recent version is always on this page with the date of last update.
